ECB DBS Checker Follow
If you are a member of a County board whose role requires them to have access to the ECB DBS Checker to check the status of someone's DBS, you can request access by contacting the ECB DBS team here.
Club Safeguarding Officers wishing to know the status of someone's DBS should contact their County Board if they are not yet on the Safe Hands Management System or, if the individual in question is in the process of completing an online application, the Atlantic Data DBS portal can be used.
If your access has been approved and setup you will receive an email confirming your login credentials. You can change your password at any time once logged in, by clicking on your 'Profile' in the top right of the screen.
To search for someone's DBS status, first go to https://dbs.ecb.co.uk/ and log in using your email address and password. Then click on 'DBS search' in the top menu and enter the surname and DOB of the person into the relevant fields at the top of the screen and click 'search'.
You will then be presented with some details for the applicant's including their ECB Ref No. full name, DOB, address, role, and DBS status and Renewal date*
*Please note that all DBS clearance is only given for a max of 12 months at each check. If the applicant is registered to the DBS update service, then they will be rechecked annually on their issue date in order to receive clearance for a further 12 months.
Therefore, if you see a renewal date that is more than 12 months in the future, then note they will be rechecked on the next anniversary date.
e.g. Billy's DBS is issued 10/04/2023. He registers and gives ECB consent to carry out rechecks.
Billy's renewal date will show as 10/04/2026, however on the 10/04/2024 he will be rechecked to ensure his certificate is still valid (this check will only take place if Billy has confirmed his consent for the recheck to take place - he will be emailed 30 days prior to start this process) see article DBS Renewal / Update Service Changes January 2023
As long as the recheck is clear, Billy's renewal date will then update to 10/04/2027 (e.g. always 3 years in advance).
If the renewal date shown is within the next 12 months, then this would indicate one of the following:
- Applicant did not register to the update service and therefore certificate is only valid for 1 year
- Applicant opted out of annual renewal rechecks as they are not continuing in their role after that date
- Applicant has not confirmed to ECB that they are registered and/or give consent to renew
In these circumstances, if you have an official that is continuing in regulated activity, then you would need to initiate a new application for them, unless on point 3, they did register and just need to give us consent to check. If this is the case, please contact Customer Support to action.
