Onboarding Request - New Club Follow
As a member of the CCB for your region, this guide will show you how to raise a new club onboarding request to the ECB for your club on the Safe Hands Management System.
Please ensure when completing an Onboarding Request you are signed in with your county email account.

IF AN ONBOARDING REQUEST IS MISSING THE PLAY-CRICKET ID AND FULL ADDRESS THIS WILL NOT BE PROCESSED AND WILL BE REJECTED.

If you cannot find your club request on the pre-validated list, you will need to raise a new request. Onboarding Request - New Club
- If you see an onboarding request against your county and this club is not affiliated by your county, please do not 'Deactivate' these requests. Please contact the help desk to advise the club belongs to a different county.
- Copy the email of the Club Administrator into the 'Existing Contact' field to ensure the request is correctly submitted.
Submitting an onboarding request for a new club

To access the Onboarding Request, you will first need to sign into Safe Hands CRM: Safe Hands - CRM

Once you are logged in, on the left side under 'Register' there will be an 'Onboarding Requests' option. Click on this to open the 'Onboarding Requests' section.

Once the section has opened, to create a new onboarding request, select 'New'.
- When the onboarding request loads, it will be split in to four sections: 'Account Information', 'Address', 'Initial Administrator' and 'Timeline'.

The 'Account Information' section must be accurately completed, as this will be the club information that will be seen on the Safe Hands Management System.
Fields with * are mandatory and must be filled out before the request can be saved.
Account Name - The name of the club must end with Cricket Club.
Type - This is a drop-down menu. At present only clubs will be onboarded.
Phone - The contact number for the Cricket Club.
Website - The club website, please ensure this is accurately entered starting with http://.
Club Mark ID - Phase 3 clubs will not have a Clubmark ID as these are non-Clubmark clubs.
Play-Cricket ID -You should have the Play-Cricket ID available when creating the request.
*Please Note* if the 'Account Information' details match a club already in the system, when the request is saved there will be a duplication message.
If you receive the duplication message, please contact Customer Support for further guidance.

The 'Address' section will be the formally registered address for the Cricket Club, this is used for unique identification purposes. Please ensure all information is correct as this will be the club address seen on the Safe Hands Management System.

The 'Initial Administrator' section should contain the Primary Club Administrator details for the club on the Safe Hands Management System.
Fields with * are mandatory and must be filled out before the request can be saved.
*Please Note* if the 'Initial Administrator' details match a contact already in the system, when the request is saved there will be a duplication message.
If you receive the duplication message, please contact Customer Support for further guidance.
First Name - Please ensure that no nicknames or 'known as' names are used, this is to ensure correct matching.
Last Name - Please ensure that no nicknames or 'known as' names are used, this is to ensure correct matching.
Email - Please make sure the email is not being used by another contact.
Date of Birth - Please ensure this is correct as this is required for the DBS to match.
Existing Contact - Type the contacts email into this field and if the contact exists on the system, please select this option.

The 'Timeline' section, this will show the audit history of the onboarding request. This will show when the request was submitted, processed, approved or rejected.

When all the details have been entered correctly, to complete the onboarding request select 'Save & Close'.
*Please Note* If you attempt to save the onboarding request without completing each mandatory field, an error message will appear, click on the message to show the errors to be corrected.

When the onboarding request has been saved, this will now appear in the 'Active Onboarding Requests' view.

When you are happy that all the information on the onboarding request are accurate and complete, click into the request again. Now at the top of the request the owner will change to your region, to complete the onboarding request select 'Submit'.

To confirm the submission, select 'OK'.

The onboarding request will now show a 'Submitted' status, with the request being sent to the ECB to action.
- Once the onboarding request has been submitted, this can now be found more easily using the 'Submitted Onboarding Requests' view.
Once you have completed this process, the ECB will receive a corresponding notification to approve the club for onboarding. Requests will be managed on a first come, first serve basis. We will endeavour to approve all requests in a timely manner, whilst needing to manage volume so support services can maintain high standards to all users.
