Club Administrator - Adding Officials & Additional Roles Follow

As a Club administrator for your club, this guide will show the step by step process on how to successfully add a new official to the club and also how to add additional roles.

Adding a New Official

  1. To add a new official to the club on SHMS, this can be be done from the 'Contacts & Officials' tab which is found within the Club Admin section.

  2. In the 'Contacts & Officials' section, there is the option to add a 'New Official'. Select this to start the process of adding a new official.

  3. Enter the required details for the new official, please ensure the Full Legal Name is entered along with the email address that matches the official's DBS (if applicable).

  4. Selecting 'Check contact details' to ensure the e-mail address is valid and the invitation can be sent to the official.

  5. When the email has been confirmed as valid, the following message will show as 'Details accepted':

  6. The next step is to select what role is to be associated by the official. More than one role can be selected.

  7. When the required and relevant roles have been selected. To complete the invitation, select 'Create Official'.

  8. The newly added official can now be seen on the 'Contacts & Officials' tab in the Club Admin section.
    PLEASE NOTE a role invitation will last for 45days before expiring, so this will need be accepted prior to this deadline.

Adding Additional Roles

If you are looking to add an additional role to an existing contact on SHMS, this can be be actioned through the 'Contacts & Officials' tab in the Club Admin section.

  1. To start the process of adding an additional role, select the 'Add Role' option.

  2. When selecting add role, this will then load up a contact menu allowing the correct contact to be selected.

  3. When the correct contact has been selected, the roles will appear to be assigned to the contact. Please select all roles that apply.

  4. When all relevant roles have been selected, select 'Submit' this will complete the process.

  5. The newly added role can now be seen on the 'Contacts & Officials' tab in the Club Admin section.
