DBS Renewal / Update Service Changes January 2023 Follow
On 10th January 2023, following an internal review taking on board guidance from the Disclosure and Barring Service and our DBS provider (Atlantic Data) and additionally feedback from the cricket network, the ECB introduced some improvements to the way our DBS application system integrates with the Disclosure and Barring Service (DBS) Update Service.
The improvements will streamline the registration and annual check process for both volunteers and paid applicants and will ensure the ECB has the most up to date information regarding the roles people are undertaking in cricket and are complying with the DBS Code of Practice.
The improvements include:
- Improved on-screen guidance and technical support for all applicants.
- The inclusion of paid applicants who previously could not give consent or confirm registration to the Update Service, online via our application portal.
- Ability for applicants to add their new ECB certificate to their existing DBS Update Service account (for both volunteers and paid applicants)
- An annual online request for applicants to consent to the annual check and re-confirm their details to ensure we hold the most accurate information in relation to their role in cricket, their club/county/organisation they volunteer/work for and their contact details.
- Ability to opt out of rechecks if they are no longer involved in regulated activity in cricket.
When does the renewal process start?
Individuals will receive an email 30 days before their renewal date to start the recheck process. At this point they will be required to log into their online ECB DBS account.
What happens if they do not respond or do not receive the email?
If the individual fails to respond or complete the recheck then their DBS clearance will expire on their anniversary date, however if you identify anybody who is still in regulated activity and wants to renew, then please contact Customer Support who will be able to initiate the renewal email for them to opt back in.
Will they need to complete a new application to renew their DBS?
Following completion of the renewal questionnaire, any information supplied that would determine a new DBS is required is forwarded to the ECB Customer Support team. They will contact all individuals directly to clarify and initiate a new application if required.
Maintaining the DBS update service account
When signing up to the DBS Update Service, we strongly recommend that applicants keep a note of their Update Service ID number as they will need to take responsibility of managing their account as it sits outside of the ECB's control.
There is a charge of £13 annually for paid applicants to subscribe, volunteers there is no charge.
Applicants will also receive an annual email directly from the DBS. Paid applicants will need to log in and pay their annual fee of £13, volunteers do not need to take any action unless their contact details have changed, or if they wish to end their registration e.g. no longer in regulated activity. That email is only to confirm that their registration is renewed.
For their ECB clearance to continue we still need their consent and completion of the renewal questionnaire to carry out the check and update our database.
